The Canadian Thoroughbred Horse Society (“CTHS”) respects the privacy and confidentiality of your personal information. Our policies with respect to the collection, use and disclosure of your personal information are explained in this Statement of Privacy Practices (“Privacy Statement”).

In this Privacy Statement, “personal information” means information about an identifiable individual and includes without limitation information such as names, addresses, phone numbers, facsimile numbers and email addresses. This Privacy Statement: (i) explains CTHS’s practices with respect to the collection, use and disclosure of personal information by CTHS; and (ii) provides information on how to access, correct and update personal information, and how to contact CTHS with privacy related questions or comments.

Personal information collection by CTHS

CTHS collects certain personal information when you or your organization becomes a member of CTHS or in applications to register foals. CTHS does not collect personal information about you without your knowledge.

Personal information use by CTHS

Your personal information may be used to establish and maintain you or your organization as a member of CTHS; to perform marketing and advertising services; and to meet legal obligations. CTHS will request your consent if we wish to use your personal information for any other purpose.

Personal information disclosure by CTHS

Personal information is disclosed by CTHS to CTHS provincial offices for the purpose of enabling provincial offices to provide and produce publications, sales nomination forms and to perform marketing and advertising services, as determined by each provincial board.

Name and address information only is disclosed by CTHS to Horse Publication Group, the publisher of Canadian Thoroughbred magazine, which you receive as a membership benefit. In the past, name and address information has been forwarded to Horse Life, the Equine Canada magazine used as a marketing tool on trade missions, in order to provide you with issues of that publication. This year, you may have received three introductory editions of Horse Care.

CTHS protects your personal information shared with these and other organizations by ensuring that such parties treat your personal information with the same level of protection as it is by CTHS. Horse Publication Group, Equine Canada or Horse Care shall not sell or use the personal information provided by CTHS for any purpose other than providing you with their publications.

CTHS will not disclose your personal information to any other third parties without your consent to do so. CTHS reserves the right to disclose personal information if required to do so by law or in the good faith belief that such action is reasonably necessary to comply with the legal process, respond to claims or to protect the rights, property or safety of CTHS, its employees, agents, members or the public.

Personal information protection by CTHS

CTHS employs security practices in order to protect the privacy and confidentiality of your personal information in the custody of CTHS. For example, personal information provided by you is kept on a secure server in the CTHS national office that is not accessible through the Internet. CTHS considers personal information provided by you to be private and confidential and accordingly we make commercially reasonable efforts to ensure that these and other security measures are in place to protect the loss, misuse and alteration of your information once received by CTHS.

Consent to use of personal information

In CTHS’s Application for Membership you are asked for your consent to CTHS’ collection, use and disclosure of your personal information. By submitting personal information to CTHS other than through an Application for Membership, you acknowledge and agree that you consent to the collection, use and disclosure practices set out in this Privacy Statement as they relate to your personal information. You may withdraw this consent at any time by contacting CTHS as set out below. However by doing so you limit CTHS’s ability to maintain you or your organization as a member.

Accessing, correcting and updating personal information

You are asked to update personal information submitted to CTHS whenever it changes and yearly upon renewal of the membership of you or your organization. At any time you may request that CTHS correct or update your personal information by contacting CTHS as set out below. CTHS will use commercially reasonable efforts to ensure that your personal information is kept accurate and current.
